CAAEYC is looking forward to seeing you in person on April 11-13, 2025! Below you will find pertinent registration information and guidelines. If you need further clarification or have questions, contact our main office.

About Your Registration
Individuals may register for Full Conference (Friday, Saturday and Sunday), two days or one day. Expo hall entry is included with all conference registrations. Expo Hall Only registration is available, but does not include access to keynote presentations, meal functions, receptions or workshops.

What Email Address Should You Use
It is important the registrant's email address is used when registering. This ensures they will receive all communication related to their attendance. In addition, that is the email address they use to access the Attendee Service Center to retrieve the certificate of completion and the mobile app. Do not use someone else's email address, thank you. If you are the coordinator and need a receipt or confirmation of the registration, you can add an alternative email at the end of the registration; or you may contact our staff team for support.

Payment Methods
Conference registration may be paid by check, credit card or purchase order. Registrations must be paid in full prior to admittance to the Conference.

If paying by check, your payment must be received prior to the week of Conference. If you arrive onsite with a balance due, you will be required to provide a credit card payment.

Only credit cards (Visa, MasterCard or Discover) may be used to complete online registration. All other registrations may be sent via US mail for checks. Make checks payable to CAAEYC. A non-sufficient funds fee of $25 will be charged for returned checks.

Purchase orders may be accepted under certain circumstances. If your agency requires payment by purchase order, you must have the PO number and the purchase order document to upload to the registration system when processing your registration online. To receive super bird and early bird rates, a valid purchase order must be received prior to the cut-off date. The payment policy for purchase orders requires that payment be received within 30 days of the PO issuance and prior to the first day of conference. Purchase order registrations are subject to the cancellation and substitution policies. Payment using a Purchase Order must be received prior to the week of Conference. Contact the CAAEYC staff team with questions about the payment policy.

Important Information About Payment and Balance Due
Registrations must be paid in full by March 20, 2025. Any registration with a balance due on March 20, 2025 will not be guaranteed. This means that if your registration includes any meals, receptions or separately priced activities, those functions will not be guaranteed. To further clarify, and as an example, if a registration includes the lunch on Friday, and there is a balance due, we will not guarantee your lunch and will remove that meal from your profile. In addition, if you register after March 20, 2025, payment in full will be required at the time of registration. Please contact our staff team with any questions.

Member Discount
The member discounted conference registration applies to the Standard and Premium members. In addition, to receive the member discount, you must provide your valid email address that you have on file with NAEYC. Your email address must be unique to you – NAEYC/CAAEYC policy requires an email address that belongs to you; generic email addresses are no longer be accepted (e.g., info@, center@, etc.). If this information is not provided, it will delay the processing of your conference registration. Call the NAEYC Customer Care Center at (800) 424-2460, option #4, to be sure your membership is current and that you have a valid email address on file.

For CAAEYC Members: Online registration will require validation with the email address that you have on file with NAEYC. You must have an email address to register. Friendly reminder, the member discount is available to NAEYC/CAAEYC Standard or Premium category members. The Entry level NAEYC/CAAEYC member category is not eligible for the member discount. Be sure to use the registrant's email address when registering -- do not use someone else's email address. This ensures that registrants receive important communication, can log into the Attendee Service Center to retrieve the certification of completion and access the mobile app. If you are the coordinator and need a receipt or confirmation of the registration, you can add an alternative email at the end of the registration; or you may contact our staff team for support.

Join online and immediately receive your NAEYC membership expiration date. Or, email the NAEYC membership application to the CAAEYC office -- info@caeyc.org -- and mail your check to the CAAEYC office. Enclose a separate check made payable to NAEYC for the membership dues. CAAEYC will forward the membership application and payment to NAEYC. Memberships are for individuals only. Save money – Join NOW!

Confirmation & Conference Badges
All registrations will be confirmed by email. The email confirmation will contain your login credentials and serve as your conference receipt. We are no longer mail conference badges. Your conference name badge will be available to print onsite at the conference registration kiosk. The badge is required for admittance to the conference. A replacement fee of $10 will be charged for badges that need to be reprinted once you have printed at the conference kiosk.

Special Needs
If you require reasonable accommodations to fully participate at the conference, please sure to complete that section when you register. Please Note: if you require a Sign Language Interpreter, that request must be submitted one month prior to conference. Therefore, the deadline for that request is March 3, 2025.

Child Policy
To maintain a professional atmosphere, as well as for safety, CAAEYC's Board policy is that children under the age of 16 years (including infants) are not permitted in educational programs (e.g., keynote sessions or workshops) or in the Expo Hall at any time. We recognize the importance of nursing Moms. We will provide a room for nursing Moms to pump or feed their babies. We are committed to consistently following this policy. Other nursing Moms have brought a friend or caregiver to support them while in conference sessions, etc. If child care is needed, contact your hotel concierge to learn if they could refer you to a service provider.

Cancellation Policy
Cancellations received on or prior to March 3, 2025, will receive a 50% refund of conference registration funds. Cancellations received after that date are not eligible for refunds or credit. All cancellations must be in writing.

Substitution Policy
If you are unable to attend, you may substitute a colleague for your entire registration. Substitutions must be of equal value. For example, if the current registrant is a member and the substitute is a nonmember, the nonmember may join or pay the difference in the registration between the member and nonmember rates. There is no sharing of registrations. An electronic letter (email or fax) and the original conference email confirmation must be submitted to CAAEYC by the original registrant or authorized representative by April 1, 2025. For substitutions after the deadline, contact CAAEYC staff. There is a $10 fee for each on-site substitution. Therefore, we encourage you to handle substitutions in advance of conference and by the substitution deadline.

Photograph & Video Policy
Registration and attendance at, or participation in, CAAEYC meetings and other activities constitutes an agreement by the registrant to CAAEYC’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videotapes, electronic reproductions and audiotapes of such events and activities.

Tax Deduction
When incurred for the purpose of maintaining or improving your present profession, expenses for training (such as tuition, travel, lodging and meals) may be tax-deductible. Consult your tax advisor for details.
